Before changing your workflow: “Cleaned” and “ready for arrival” are different checks.
The ready-to-host handoff
Original blank operating template. Cleaning completion and readiness for arrival are separate decisions. Adapt the scope to your property.
| Stage | Named owner to assign | Definition of done |
|---|---|---|
| Before the turn | Host / coordinator | Dates, scope, supplies and backup confirmed |
| Clean and reset | Cleaner | Agreed room checklist completed |
| Exceptions | Coordinator | Damage or missing items resolved or escalated |
| Final readiness | Authorized reviewer | Inspection and access check complete |
Before the turnover
Use a non-sensitive task record with property reference, checkout/arrival timing and assigned owner. Keep guest details and access credentials out of broadly shared checklists. Update the schedule when a booking changes.
- Confirm checkout and next arrival windows.
- Assign cleaner and final-check owner.
- Flag maintenance work and its responsible person.
- Check linen and consumable availability.
- Define where completion and exceptions are recorded.
Cleaning and reset
Adapt the scope to your property and qualified professional guidance. Agree on what the cleaner’s quoted price includes, what requires an extra visit and who approves additional work. This makes the actual turnover cost more useful in the calculator.
- Complete the agreed room-by-room cleaning scope.
- Reset linens and count required spares.
- Restock the agreed consumables.
- Record damage or maintenance issues without unnecessary personal data.
- Confirm waste, laundry and lost-item procedures.
Final ready-to-host handoff
Use a separate final check even if the same person performs it. Record that access, basic utilities and the property setup have been checked, along with any unresolved issue and its owner. Keep private entry details in the authorized access system.
For a printable copy, use your browser’s Print command. HostMetrio’s print layout removes navigation and preserves this checklist. This is a general operational template, not a safety certification.
- Verify authorized guest access and backup route.
- Check the agreed arrival setup.
- Confirm maintenance exceptions are resolved or escalated.
- Record completion time and owner in your own system.
- Update the next reservation handoff if anything changed.
Use available time, not the promised arrival time
An illustrative 11 a.m. checkout and 4 p.m. arrival gives five nominal hours. Subtract travel, laundry constraints, inspection and time to fix a problem. A three-hour clean does not leave two usable contingency hours if inspection cannot begin until 3:30.
Write an escalation cutoff: when does a late or incomplete clean require a backup? Do not wait for the guest to discover that readiness was never confirmed. This original template is not a forecast of cleaning time for your property.
Keep completion evidence proportionate
Agree which evidence is useful, such as a reset photo or maintenance exception note. Avoid collecting guest documents, possessions or unnecessary identifying details. Decide who sees records and how long the team keeps them.
Turno advertises scheduling and photo checklists. That does not establish guaranteed cleaning quality or local supply. A shared document can work when responsibility is clear; a focused tool becomes a candidate when coordination repeatedly fails.

Run the same checkout change with your current team
Start with your current setup. Change the checkout in the shared calendar, ask the named cleaner to confirm it and log the acknowledgment. Keep the existing process if it reliably closes that loop.
